The calculation order matters
QuickInvoice Studio follows one explicit sequence. First, each quantity is multiplied by its tax-exclusive unit price and rounded to two decimals. Those rounded amounts are added to create the subtotal. Next, the invoice-level discount is deducted. The selected tax percentage is applied to that discounted subtotal, and the rounded tax is added to produce the total due.
This is a single-rate, tax-exclusive calculation model. It is designed to make the arithmetic easy to follow, not to decide your tax obligations. Whether a discount reduces the taxable amount, which rate applies and what wording must appear on the document depend on the relevant rules and the transaction.
Percentage versus fixed discounts
A percentage discount scales with the subtotal. It is useful when an agreement specifies a proportional reduction across the whole invoice. The editor accepts percentages from zero to one hundred, with up to two decimal places. The calculated discount is rounded to the currency’s minor unit before tax is calculated.
A fixed discount subtracts an amount in the selected invoice currency. This suits a specifically agreed reduction that should not increase when another row is added. The studio caps the applied fixed discount at the subtotal so that it cannot create a negative taxable base or negative total.
These options have different editing consequences. Adding a new product increases a percentage discount but leaves the entered fixed reduction unchanged. Review the discount after changing line items. The tool supports one invoice-wide discount, not separate item discounts, promotional stacking or conditional early-payment calculations.
Walk through an example
Suppose your rounded line items add to 200.00 in the selected currency. A ten percent discount removes 20.00, leaving 180.00. Applying an illustrative twenty percent tax rate produces 36.00 of tax. The resulting total is 216.00. These figures demonstrate the calculation only; the tax rate is not a recommendation for any particular sale.
A fixed discount of 20.00 produces the same result in that example. If the subtotal later rises to 300.00, however, a ten percent discount becomes 30.00 while the fixed discount remains 20.00. That difference is why the discount label and the agreed commercial terms should match.
Rounding can also explain a small difference between systems. One system may round tax per line, while this studio calculates tax once on the discounted invoice subtotal. If your customer’s accounting system uses another method, check which method your jurisdiction and agreement permit rather than changing numbers simply to force a match.
Know the limits of one tax rate
All rows share the tax rate entered in the editor. The tool cannot split a document into standard-rated, reduced-rated, exempt and zero-rated categories, nor can it allocate the discount between different tax bands. It also does not calculate compound taxes, withholding, reverse-charge treatment or jurisdiction-specific place-of-supply rules.
Entering zero leaves the tax amount at zero; it does not establish whether the transaction is exempt, zero-rated or outside the scope of a tax. Those categories may require different evidence and invoice wording. Use appropriate accounting software or professional guidance when a transaction needs more than this straightforward calculation.
Currency is a label, not a conversion
The currency selector supports GBP, USD, EUR, CAD, AUD, CHF, INR and SGD. Amounts are displayed with a currency code and two decimal places. Switching from one currency to another preserves the entered numeric prices. No exchange-rate service is contacted, and no conversion takes place.
Agree the billing currency before pricing the work. If the customer pays in another currency, conversion charges and the amount ultimately received are outside this invoice calculation. Record those events separately. The total due also assumes no payment has already been applied; there is no deposit, partial-payment or balance-tracking field.
Review before issuing
Check the subtotal against the line amounts, the discount against the agreement and the tax treatment against reliable advice. Preview calculations update while you type, but incomplete or invalid fields must be corrected before export. A correct calculator cannot compensate for an incorrect tax rate or an unsuitable transaction model.
